Child Rate Eligibility

The Child (Under 15) rate applies only to participants aged 0–14 on the tour date. By booking a participant at the Child rate, the person making the booking confirms that the participant meets this age requirement. ASO KUJU CYCLE TOUR may request proof of age. If the participant does not qualify, the difference to the applicable adult rate must be paid before participation.

Booking and Confirmation

A booking request is received when the customer completes the booking process. The booking is not considered fully confirmed until any required payment has been received and ASO KUJU CYCLE TOUR has issued confirmation. Please check all booking details, including the tour date, start time, number of participants, and contact information, before submitting your booking.

Payment

Any payment required for the tour must be made in accordance with the payment instructions provided by ASO KUJU CYCLE TOUR. A booking is considered confirmed only after the required payment has been received and payment confirmation has been issued. Any outstanding amount must be paid by the specified due date.

Cancellation and Refund Policy

If you need to cancel your booking, please contact ASO KUJU CYCLE TOUR as soon as possible. Cancellation fees are calculated based on the scheduled tour date and the time the cancellation request is received by us, using Japan Standard Time (JST).

Cancellation 7–2 days before the tour date: 30% of the tour price
Cancellation 1 day before the tour date: 50% of the tour price
Cancellation on the tour date or no-show: 100% of the tour price

Cancellations made 8 or more days before the tour date will not incur a cancellation fee.

These cancellation fees apply when the guest cancels the booking. If ASO KUJU CYCLE TOUR cancels the tour due to unsafe weather, road or trail conditions, volcanic activity, natural disasters, or other circumstances that we determine may affect participant safety, no cancellation fee will apply. Guests may be offered the option to reschedule to another available date or receive a refund of the tour amount paid.

Weather, Volcanic Activity and Safety

Tours are conducted outdoors and are subject to weather, road and trail conditions, volcanic activity, and other circumstances that may affect safety. ASO KUJU CYCLE TOUR reserves the right to change the route, start time, itinerary, shorten the tour, postpone, or cancel the tour when we consider it necessary for the safety of participants and guides.

Participants must follow the instructions of the guide at all times. ASO KUJU CYCLE TOUR may refuse or discontinue participation if a participant’s condition, behavior, equipment use, or failure to follow safety instructions creates a risk to themselves, other participants, the guide, or the public.

Participant Requirements and E-bike Safety

Participants must be able to ride and control a bicycle independently and must be able to safely fit and operate one of the e-bikes provided. Helmets must be worn while cycling. Participants must follow the guide’s safety instructions and applicable traffic rules at all times. Anyone who appears to be under the influence of alcohol or drugs, or otherwise unable to operate an e-bike safely, may be refused participation.

Late Arrival and No-Show

Please arrive at the agreed meeting point at least 10 minutes before the scheduled start time. If you expect to be late, please contact us as soon as possible. Depending on the length of the delay and the day’s schedule, the tour may need to be shortened, adjusted, or treated as a cancellation. Failure to arrive without prior notice will be considered a no-show and will be subject to the applicable cancellation policy.
